Privacy Policy

Last modified: October 2026

This is an English translation of the Πολιτική Απορρήτου. In case of any difference between the two, the Greek version prevails.

Welcome to the WisDom RM application (hereinafter “the Application”), which is accessible through the website wisdom-rm.gr. Protecting and safeguarding the privacy of your data is our absolute priority. This Privacy Policy explains what data the Application processes, how that data is used, and how the Application fully complies with Google’s user data protection requirements.

01

Data Controller

The controller of the Application’s data is Alkis Tselemegkos, based in Nafpaktos, Greece. For any matter concerning this policy, you can write to: [email protected]

02

“Privacy by Design” & Hotel Data

The Application is designed as a Decision Support System for hotel revenue management.

  • No Guest Personal Data (GDPR): The Application does not collect, store or process personal data of your hotel’s customers or guests (such as full names, phone numbers, emails or credit card details).
  • Operational Data: The Application processes the hotel’s operational and statistical data (such as room rates, pickup, occupancy, MinLOS) and the shift notes, which are entered by the user for the purpose of optimising rates.
  • Your team’s details: For the reports, the Application keeps the names of the front desk team members and the name, salutation and email of the General Manager, as you enter them. They are stored only locally (§07) and are not sent to the AI without your explicit choice (§05).
03

Use of Google User Data

When you choose to enable synchronisation through your Google account (Google OAuth 2.0), the Application requests access exclusively to the following scope:

(Google Drive Application Data folder): This scope allows the Application to create, read and update only its own settings and data files, inside a special, hidden and isolated folder (appDataFolder) in your own Google Drive.
How this information is used
  • The Access Token that is issued is used temporarily, and only on your device, to transfer your data file to and from your Google Drive.
  • This data serves exclusively to synchronise the Yield Matrix and your settings between your own devices (e.g. from the office desktop to your mobile phone).
  • The Application has no access to, cannot see and cannot modify any other personal file, document, photo or folder in your Google Drive.
04

Sharing, Limited Use & Data Transfer

  • No Transfer to Third Parties: We do not share, sell, rent or transfer any user data, or any data obtained from Google APIs, to third-party companies, advertising platforms, trackers or external servers.
  • Compliance with Google’s Policy: The use and transfer by WisDom RM of information received from Google APIs to any other app will fully comply with the Google API Services User Data Policy, including the Limited Use Requirements.
  • Limited Use (official statement): WisDom RM's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
05

Optional AI Feature (Anthropic)

Analysis through Artificial Intelligence is an optional extension, disabled by default. It is enabled only when you enter your own Anthropic API key in the Application’s settings.

  • What is sent: When you request an AI analysis, the Application sends to Anthropic’s Claude API the text of the report you see on screen — performance data (e.g. occupancy, ADR, revenue) and the shift notes. Never guest personal data, and never data from your Google Drive.
  • Anonymous by default: Before sending, names are replaced: the hotel becomes “the hotel”, the city/area “the area”, the General Manager “GM”, each team member “Member A”, “Member B”…, and the competitors “Competitor C1”, “C2”, “C3”. Names are sent only if you explicitly choose so (the “Full Context” setting). A name written freely in a note in a different form (e.g. in another grammatical case) may not be recognised.
  • Your own key, no intermediary: Communication goes directly from your device to Anthropic, under your own account. No server of ours is involved, and we do not store this data anywhere.
  • Third-party processor: Use of the Claude API is governed by Anthropic’s Privacy Policy. If you do not enable the AI, no information leaves your device for Anthropic.
06

Optional Channel Manager Connection

Sending rate decisions to your hotel’s channel manager is optional and disabled by default. It is enabled only when you enter, in the Application’s settings, the API details provided by your channel manager. Whether anything is sent, and what, is decided by you alone — and you may send nothing at all: the list of changes lets you enter the rates by hand in your channel manager’s own interface.

  • What is sent: Only the decisions of the Rate Sheet — date, rate code, rate, stop-sell and minimum stay — and only those that changed since the last send. Never guest personal data, and never any other data of the Application. The connection test only reads your hotel’s list of rates.
  • Never automatically: Every send happens only when you request it, after previewing the changes and confirming.
  • Through the WisDom bridge: The channel manager does not accept calls directly from a web browser. That is why the connection test and the send pass, together with the API details, through a WisDom function that forwards them exclusively to your channel manager. The function does not store or log either the connection details or the content; it records only the action and its result (e.g. “send · 12 records”).
  • Test mode: On by default. The bridge checks what would be sent, without sending anything to the channel manager; the connection details still pass through it for the check.
  • Connection details stay on the device: They are stored only locally, on the device where you entered them, and are not included either in the Google Drive synchronisation or in the backup.
  • Without a connection: The list of changes and its files (CSV, JSON) are created on your device, and from there you enter the rates by hand in your channel manager. Nothing is sent.
  • Third-party processor: Whatever you send is governed by the terms and privacy policy of your own channel manager.
07

Data Storage Architecture

The Application uses a local (client-side) architecture.

  • Your data is stored locally on your device, using your web browser’s secure database (IndexedDB).
  • If you enable synchronisation, the data is copied exclusively to your own Google Drive account. No operational data or key is stored on servers of ours.
  • Only what you explicitly send reaches third-party servers: an AI analysis (§05) and the rate decisions to your channel manager (§06), which pass — without being stored — through the WisDom bridge. Whether anything is sent, and what, is always your decision.
08

The Website Form

Besides the Application, the website wisdom-rm.gr has one contact form — for a trial, a purchase or a question.

  • What is collected: name, email, optionally the hotel and city, the plan you are interested in and — only if you choose so — your consent to receive news.
  • For what purpose: to reply to you and to send you the Application and the license key. News and updates are sent only if you tick the relevant box; it is unticked by default and is not a condition for the trial.
  • Where it is stored: the form is submitted through the Netlify Forms service of the website’s hosting provider (Netlify, Inc.), and a notification reaches [email protected]. It is not sold, nor shared with third parties for advertising.
  • How long it is kept: until you ask for its deletion, and at most two years after our last contact.
  • Withdrawal and deletion: one email to [email protected] stops the news and, if you ask, deletes your details.
09

User Rights and Data Deletion

You have full control of your data at all times:

  • You can revoke the Application’s access to your Google Drive immediately, from your Google account’s security settings page (Security > Third-party apps with account access).
  • You can permanently delete all of the Application’s locally stored data from your device by clearing your browser’s history and data (Clear Browser Cache / IndexedDB).
  • You can remove the channel manager connection details at any time by emptying the fields in the Application’s settings.
  • You can ask for deletion of whatever you sent through the website form, or stop receiving news, with one email to [email protected] (§08).
